Centre Coordinator

  • Permanent part-time: 10 am to 4 pm (22 hours per week) Mon, Tues, Wed & Thurs
  • $34 ph +Super + NFP Salary Sacrifice Option
Our client operates two well-equipped complimentary treatment centres for patients who have been diagnosed with cancer. They offer a range of subsidised treatments in addition to facilitating support groups and services for members and their families.

Due to continued growth, two permanent part-time opportunities have arisen within the team that will offer the successful candidates an opportunity to make a real and positive impact on the lives of clients and their families. Hours are flexible,10.00 am to 4.00 pm, Monday to Thursday and the pay rate is $34 per hour + Super with the NFP- Salary Sacrifice Option.

Duties will include:

Customer service
  • First line of support for new clients, by phone, website or in person, offering a welcoming and empathic presence
  • Verifying new client details and organising a nurse to reach out and schedule an intake appointment
  • Providing support to the client, their family and friends, offering refreshments and comfortable seating, among other considerations
  • Providing information on the services provided by the organisation and, in collaboration with the Client Services Coordinator, supporting communication between clients and therapists
  • Maintaining optimal presentation of reception and client services areas to create a warm and welcoming environment
Administration
  • General office administration including filing, archiving and maintenance of client records (database) - this includes accurate data entry of client, carer and therapist data
  • Coordinating the distribution of care cards to clients
  • Monitoring the centre's email and voicemail, ensuring timely responses
  • Maintaining the Client Services library (including books and DVDs)
  • Preparation and provision of reports, as well as assisting in data analysis
  • Assisting with ensuring administrative compliance
Other
  • Processing financial transactions for membership, events, donations and therapies and completing end-of-day reconciliations
  • Managing banking, postage and petty cash
  • Coordinating catering as required, as well as room setup with the support of volunteers and housekeeping staff
  • Providing inductions, orientation and training to new staff, volunteers and therapists within the centre
  • Attending community and/or health marketing opportunities as needed
These roles are very important functions within each centre and will require a caring and confidential approach to your work. You will be required to work within a larger team comprised of staff, volunteers, board members and therapists, and as such you will need exceptional communication and interpersonal skills, with a compassionate and empathetic approach.

Skills required:
  • Excellent communication and coordination skills with a genuinely empathetic nature
  • Strong organisational and time-management abilities
  • High ethical standards and respect for confidentiality
  • Excellent phone manner with professional verbal and written communication
  • Intermediate Microsoft Office skills (Word, Excel, PowerPoint and Outlook)
  • Financial acumen with the ability to handle cash and EFTPOS transactions
  • An eye for detail and a proactive nature
  • Demonstrated ability to work within a team
Selection criteria:
  • Proven experience managing confidentiality in an environment requiring empathy and client care
  • Minimum of 5 years experience in a client-facing role such as reception or office administration
  • Knowledge of cancer support services or healthcare-related experience
  • A background in a not-for-profit organisation is highly desirable
  • Familiarity with various complementary therapies and their potential benefits for people living with cancer is highly desirable
  • Current NSW Drivers Licence
  • The ability to work occasional evenings or weekends for events and meetings
  • Full Covid vaccination is required
